Job Title: Operations & Logistics Virtual Assistant
About the Role:
Location : Remote – India
Working Hours: Between 8.30 PM IST to 5.30 AM IST (Indian Evening Shift)
Start Date: Immediate Joiners Preferred
Language: Fluent in English (Spanish is a massive advantage)
We are looking for a highly organized and proactive Operations & Logistics Virtual Assistant who brings strong accounting and customs expertise, particularly in handling logistics, shipping, and inventory tracking for IoT-related hardware. The ideal candidate will be a dependable multi-tasker who can work independently with minimal supervision and ensure all operations—from shipping coordination to key tracking—run smoothly.
Key Responsibilities:
- Track and manage IoT device shipments, including hardware keys and components.
- Coordinate with logistics providers and customs agencies to ensure timely and compliant delivery.
- Maintain and update shipping logs, customs documentation, and inventory records.
- Investigate and resolve any issues related to missing shipments or hardware.
- Liaise with suppliers, warehouses, and internal stakeholders to streamline operations.
- Support internal operations by preparing reports and maintaining compliance records.
- Provide administrative support as needed, including email correspondence, document preparation, and follow-ups.
- Assist with basic accounting tasks related to shipping and customs duties.
Required Skills and Qualifications:
- Proven experience in logistics, operations, or supply chain support (virtual assistant background is a plus).
- Familiarity with customs processes and shipping documentation (international experience preferred).
- Basic accounting knowledge, especially in handling cost reconciliation and import duties.
- Strong organizational and time management skills.
- Fluent in English (spoken and written) -Spanish is an advantage
- Proactive and self-motivated with the ability to handle multiple tasks at once.
- Tech-savvy and comfortable working with tools like Excel, Google Sheets, and shipment tracking systems.
Preferred:
- Experience working with IoT or hardware logistics.
- Previous remote/virtual assistance experience.
- Knowledge of customs regulations in the US, Mexico, or India (as applicable).
